AMENDED NOTICE TO BIDDERS
ELLENVILLE FIRE DISTRICT
Bid 2501 GC General Construction

PLEASE TAKE NOTICE that pursuant to a resolution of the Board of Fire Commissioners of the Ellenville Fire District, Village of Ellenville, Ulster County, New York, sealed bids for a single General Construction prime contract which includes a Local Union Project Labor Agreement. The contract shall include all sub-contracts required for sitework, general building construction (all trades), mechanical, plumbing, fire sprinkler and electrical work for the construction of a new firehouse facility located at 203 S. Main Street, Ellenville, New York 12428. Bids will be received at the office of the Board of Fire Commissioners at the firehouse located at 7025 NY Rt. 52, Greenfield Park, New York 11435 until 7:00 p.m. (prevailing time) on Tuesday the 3rd day of November 2026, at which time they will be publicly opened and read aloud.

Detailed plans, specifications and addenda (if any) regarding the project will be available from the project Architect by email request only at the address listed below as of September 17, 2026. All bid inquires and request for access to bid documents shall be directed to the project Architect, Jeffrey Sendlewski, RA, via e-mail at jeffs@firehouseplanner.com. Documents will only be provided to bidders in PDF electronic format via drop box access which will be provided to bidders upon request.

The award of contract shall be determined within forty-five (45) days of the bid opening. The award of contracts is subject to approval of a referendum vote for funding for the project by the voters of the fire district after receipt of bids.

A Bid Bond (A.I.A. Document A310 or equivalent) in the amount of at least
five (5%) of the base bid must accompany each bid. A full performance bond, together
with labor and material payment bonds, shall be required upon execution of the contract by the successful Bidder.

Bids shall be submitted in sealed envelopes at the above Fire District address and shall bear on the face thereof the name and address of the Bidder as well as the specific contract(s) bid on, as set forth above. All bids must be submitted on forms furnished by the Fire District, in accordance with the specifications and Instructions to Bidders, and shall be submitted as follows: if by regular mail to: Ellenville Fire District, PO Box 268, Ellenville, NY 12428, and if by overnight (FedEx) certified mail, courier or delivery service to Angela Burburan, Ellenville Fire District Secretary, 742 Irish Cape Road, Ellenville, NY 12428 and shall be received on or before 5:00 pm., November 3, 2026. Bids may also be delivered in person at the place of the published bid opening by 7:00 pm. on November 3, 2026. The sole responsibility for having the bid delivered and received at the time and place of the bid opening is the sole responsibility of the bidder without exception.

All bids must meet the requirements of the General Municipal Law of the State of New York and all other applicable statutes and have a statement of non-collusion in the form as required by Section 103-d of General Municipal Law. All documents submitted in connection with this bid will become the property of the Ellenville Fire District, and the Fire District shall not return bid documents.

The contract for the above item(s) may be awarded by the Board of Fire Commissioners only to the lowest responsible bidder. In cases where two or more responsible Bidders submit identical bids as to price, the Board of Fire Commissioners may award the contract to either of such bidders. The Board of Fire Commissioners, however, reserves the right to reject all bids and re-advertise new bids in its discretion and/or to waive any informality in any bid which it deems immaterial in nature.

There will be a mandatory informational pre-bid conference for the above-mentioned bids starting at the Ellenville Fire District firehouse facility located at 5 Maple Avenue, Ellenville, NY 12428 on Wednesday October 14, 2026, at 1:00 pm followed by a site visit. All requests for information and clarifications regarding the bid must be received by the architect at the above noted email address on or before Tuesday October 20, 2026.
